Your role
We are looking for an organized and energetic operational manager to enhance our Operations and Finance team and help us build the next generation of machine learning applications for industry players. Be a part of our success story!
As our Operations Manager, you will be an all-rounder that will work independently on different topics that are targeted at keeping our organization running, and allowing it to scale. Additionally, you will work closely with our C-level, management team and support their day-to-day business. Your main responsibilities include:
Responsible for the onboarding of new joiners (e.g. Hardware, setting up required accesses);
Idealize, organize and execute team and company-wide events;
Responsible for HR operations (e.g. visa application, benefits, contracts) and maintenance of the company’s HR system;
Operationalize payroll;
Support financial activities like invoices and yearly reports;
Responsible for the office organization in general, the appearance of the office, correspondence, and office setup as well as fruit, snacks, and beverages;
Own our internal knowledge management platform and ensure that the team keeps this up to date;
Organise meetings with customers, partners, and key opinion leaders;
Support the scaling up and structuring of our organization;
Manage basic legal activities (e.g. standard agreements, NDAs, etc.) and organization of legal documents;
Support our management with administrative work;
Responsible for organizing management travel scheduling as well as executive appointment management
Your profile
We are looking for a driven, reliable and thoughtful person with a proven track record of personal and professional achievements:
Based in Berlin;
Proven experience as an operations manager or office manager or in a similar administrative role;
Excellent organizational and multitasking abilities;
Strong communication and interpersonal skills (German and English);
Proficiency in office software, such as Microsoft Office Suite or Google Workspace.;
Ability to work independently and as part of a team;
Attention to detail and problem-solving skills.
Plus: experience in defining and maintaining processes aligned with ISO 27001 or similar security and data protection standards.
